Executive Administrative Assistant (Remote)

About the role:

This opportunity is designed for experienced administrative professionals who are comfortable supporting leadership teams, coordinating business priorities, and ensuring operations run smoothly in fast-paced remote environments.

Pay Rates:

Part-time Monthly Rates: $800 to $1,280 (20 hours per week)

Full-time Monthly Rates: $1,600 to $2,560 (40 hours per week)

The posted monthly salary range is an average monthly income. However, all jobs at Virtual Latinos are hourly-based, and payments are calculated based on the number of hours a person works daily. We pay our Virtual Professionals every 2 weeks through third-party platforms. The hourly rate range of the position is $10- $16, depending on experience. Once a rate has been offered to you, it is non-negotiable.

Work Schedule:

The work schedule will vary depending on the position and client. Most schedules align with U.S. and Canadian business hours.

Key responsibilities:

  • Executive Calendar Management: Coordinate complex scheduling across multiple time zones and manage executive priorities.
  • Inbox & Communications: Oversee executive inbox communication, draft professional responses, and manage internal/external correspondence on behalf of leadership.
  • Project Coordination: Coordinate projects across teams while ensuring deadlines and milestones remain aligned.
  • Reporting: Prepare executive summaries, presentations, and operational reports.
  • CRM & Systems: Support CRM management and maintain accurate operational records across platforms.
  • Stakeholder Liaison: Act as a point of contact between executives, internal teams, clients, and vendors.
  • Process Improvement: Identify opportunities to improve administrative workflows and operational efficiency.

What you bring:

  • Must be 21+ years old
  • 3+ years of experience in administrative support, executive assistance, or operations coordination roles
  • Bilingual English (C1 or above) /Spanish
  • Experience supporting executives, founders, or leadership teams

Required:

  • Strong written and verbal communication skills in English
  • Ability to manage multiple priorities independently in remote environments
  • Proficient in Google Workspace (Gmail, Calendar, Docs, Sheets, Drive) and/or Microsoft Office 365
  • Working knowledge of CRM platforms (HubSpot, Salesforce) and project management tools (Asana, ClickUp, Monday or similar)
  • Comfortable with Slack, Zoom, Microsoft Teams, Calendly, Canva, and AI tools (ChatGPT, Claude)
